Let's start by looking at what businesses are accomplishing with ChatGPT
Estimated Time to Complete: 10 to 15 minutes
Is ChatGPT just hype, or are other small business owners successfully using it to make major gains in their businesses?
In this training session we'll explore a series of case studies on how businesses are using ChatGPT to make incredible gains in their businesses.
We will also cover two common mistakes made with AI that you can avoid and save yourself lots of wasted hours and much frustration.
Let's get into it!
Our first case study comes from a client of ours, an online education company.
One of the employees at the business was spending 3 hours per day handling incoming emails from customers and website visitors.
We worked with her to build a Custom AI Tool that contained all the key company information, and helped her handle those inquiries. The AI tool would read and draft responses to customers' emails. In most cases the AI response was spot on, accurate, and professional. And, for those few cases where the customer needed her personal attention, she now had time to give it generously.
With the help of the AI tool, she was able to take her 3 hours of daily customer service work down to... (drum roll)... 30 minutes, an 83% reduction in cost.
☎️ AI Customer Service » We've built AI customer service tools for other businesses as well. It's a very reliable way to get significant productivity gains. Typically, we build them for $900, and they save 5 to 10 hours of work per week.
Let's look at an example of a customer service tool right now 😁
This Custom AI Tool is powered by ChatGPT and contains the Card Against Humanity FAQ. With more work, we could load in the rest of the key company information. This is just a demo.
It will answer any question contained in the FAQ and it'll do it with the sarcastic tone we're all used to from Cards Against Humanity.
This demo sends your messages to our servers and the OpenAI API. As a preview, it limits the number of messages.
Try asking about returns, damaged goods, if they take submission, or what to do if you run out of cards. If it doesn't know the answer, it will refer you to the website.
⚠️ Hint » All AI tools make mistakes, including our demo here, and that's why this particular tool isn't intended to be customer facing. It's a tool for the human to do their work faster, drammatically faster, but the human employee is still needed.
Alright, upcoming examples will cover AI for content creation in marketing, proposal writing, large document analysis, training design, and legal contract review, but first let's look at some very common and costly mistakes to avoid.
Just tell ChatGPT what you want, and it'll do it, right? ...Not even close.
The most common mistake out there is assuming that working with AI is trivial. Even the customer service example we just went over can be done poorly, producing too many inaccurate answers to customer questions and wasting hours of time instead of saving time.
Maybe someday you can just ask ChatGPT to grow your business for you. For now, it's hard... but the rewards are tremendous!
The second common mistake is trying to get ChatGPT, or another AI tool, to do one-time, expert tasks, rather than focusing on basic, repetitive tasks.
If you are a dentist, trying to get ChatGPT to conduct a root-canal seems like complete non-sense, and it is, while having ChatGPT assist in creating daily social media content to advertise your teeth whitening service is great.
Reptitive | One-Time | |
Basic | Focus here! This is the biggest reward with the smallest investment for small business. | ChatGPT can help here at times, but it's unreliable and the benefits are too brief for big gains. |
Expert | This requires a lot more investment, but if you succeed, you can dominate a marketplace. | The one time payoff would need to be enormous, and it often isn't. Don't waste time here. |
Use ChatGPT on repetitive, basic tasks helping your employees do their work faster and driving massive growth for your business.
Speaking of massive rewards, let's go over the rest of the case studies 😃
There are two great ways we've used ChatGPT for content creation. Content repurposing and AI-powered content creation. Let's cover the easier one first.
Most businesses create some kind of content for marketing: A monthly newsletter, articles, a podcast, videos, industry reports, et cetera.
This content can be fed into a custom AI tool and the AI tool can pump out fresh content for social media platforms.
This is one of the most reliable and simple ways to use AI to increase lead generation and sales.
We've built AI tools for this kind of content repurposing for several of our customers. It's great, because it allows them to continue to make their marketing materials the way they know works, but now they can leverage that content for more leads on more platforms with the help of ChatGPT.
If you're not on LinkedIn, or Twitter (x.com), or Facebook, or Instagram, or Tiktok, or YouTube, or Reddit, or all the others... I totally understand! It's like there's a new platform every week.
Now, you just need to make content once, in a long form with all the detail. Take your time, and make it awesome. Then, just copy and paste your content into a series of Custom AI Tools, each one tailor made to repurpose your content for a specific social media platform. In seconds, each AI tool will read your content and then pump out 5 LinkedIn posts or 15 Tweets or 8 Facebook posts, et cetera. You pick the best ones and post them.
This gets you leads from platforms you're not on with almost no added time or budget.
⚠️ Warning » This technique is relatively easy, and it's being used by more and more businesses, so breaking through the noise
will get harder and harder as time goes on. If you need help breaking through the noise, reach out.
Alright, onwards!
Using AI to create brand new content is much harder, but the rewards can be tremendous!
The reason it's so hard to do this is not because ChatGPT can't make content. It's that ChatGPT is trained on content that's already out there. Old content. If you want something new and valuable, that's much harder to do, even for humans.
Getting this right is about using AI in your repeatable content creation process, not trying to hand over the whole job to ChatGPT.
The best example we have of using ChatGPT for drammatic gains in content creation is from right here at Innovation Bound.
Back in 2023, we were creating ChatGPT-powered demos to promote our online ChatGPT Training program. We were targeting Learning & Development professionals and so our demos were showing off ChatGPT's abilities for L&D.
We built these three demos first:
Demo 1 » 🥊 The Leadership Gauntlet
Demo 2 » 🛍️ Sales Role Play Trainer
Demo 3 » 📚 Personalized Learning Pathways
They were great, but it was taking us a long time to make each new demo. Our process involved lots of steps: Coming up with the idea, hammering out the AI part, writing and recording the audio instructions, the titles and descriptions, and a few more steps.
We thought, maybe ChatGPT can help with some of those steps... We were blown away!
It was taking us 2 hours to make each new demo... with ChatGPT, 6 minutes!
This was a 2,000% boost to productivity! In half of a Friday morning we did a 40-hour week of work.
Here were some of the demos ChatGPT built with us:
This was the moment we went all in on AI here at Innovation Bound. If AI could 20x our content production, what else could it 20x?
Alright, we've covered case studies on customer service and marketing content so far. Let's do training design next.
Most businesses have some kind of onboarding or training they do for new hires, new customers, or both. The next case study highlights some work with did for DHL.
One of the employees at DHL was responsible for interviewing, onboarding, and training new hires. Typically, he spent 8 hours designing an onboarding session... with our Custom AI Tool, 53 minutes! A 900% boost to productivity.
He also reported the quality of his agendas going up. This was likely because ChatGPT handled the tedious parts of the job of designing an onboarding program and he could focus on the challenging and creative parts.
The key here is to break your process down into very small baby steps, and use ChatGPT only for the parts where it can work much faster than you can. Make this repeatable, and set up a Custom AI Tool for it.
Custom AI Tools is exactly what we'll dig into in the next training session.
Next up, proposal writing.
Often times writing proposals can cost a business owner lots of time, and for service businesses it can be the business owner themselves that's writing the proposals.
We've seen two different approaches for incorporating AI into proposal writing. Both were successful.
The first involved using a Custom AI Tool to draft proposals from a transcript of a conversation with a customer, like a Zoom conference recording, and the other involved the sales person talking to the customer and filling out a short form, consolidating the key points from the customer conversation.
The transcript or the key points would go into a Custom AI Tool, and the AI would build the first draft of the proposal letting the sales person do a final edit and quality check.
Both approaches yielded high quality proposals in a fraction of the time, and this is another reliable way to use AI to make gains, this time in the sales department.
If you were able to get three times as many proposals out, how much would your business grow? Trick Question 😉
This example is for B2B businesses going after big customers or big partnerships.
We've seen this work with two different customers, one was contracting with airports as partners, and another was applying for government grants to fund their R&D.
In both cases the challenge was going through RFQs or RFPs, Request for Quotes or Requests for Proposals. These are large documents, sometimes hundreds of pages, from a big business, an airport, or government agencies asking for contractors to put in bids.
Until now you had to spend days combing through those giant documents to find key requirements that apply to you. With skillful use of ChatGPT... mere minutes.
The business owners we worked with were able to score big partnership and big grants using ChatGPT skillfully, to speed up their work without missing important details.
📝 Hint » Working on a one-time project like applying to a big grant, or a repetitive business process like applying to new RFQs on a weekly or monthly basis are different, and the ways you'll use ChatGPT to speed up the process are different.
This example is from an outside study, and we look forward to replicating its results for any law firms that want to work with us. We will work on a performance basis. Call us.
The study on humans vs AI for legal contract review » 📑 Better Call GPT
ChatGPT's most impressive strength is language. It is very very good at many types of language tasks, and that is because its AI training (key concept we dig into in our training programs) focused on an inconceivable amount of text data.
You can think of it like this: Nearly all of the internet is in ChatGPT's brain.
Since reading contracts, identifying legal issues, and describing them are all language tasks, ChatGPT, and other LLMs (Large Language Models) are quite impressive at this work.
Here were the study's key findings:
These results are staggering and point to a massive shift in how the legal field will get work done. Other industries are facing the same levels of disruption.
Alright, those are the types of results small businesses are getting with ChatGPT... Massive gains in productivity. Next, let's talk about how gains like this can be achieved.
By now you've heard me say Custom AI Tool quite a few times, in nearly all the examples we covered.
What this means is that we can take the power of ChatGPT and customize it to suit your needs, building a specific AI tool for a specific business task or workflow.
This is where these huge gains are coming from. And we're going to focus on this in our next free training session. There's a link at the bottom of this page for that, or you'll get it in the next email on Wednesday morning.
